Terms of service
Last updated 31 August 2026.
These terms govern your use of Crewroom. By creating an account or subscribing, you agree to them.
Who we are
Crewroom is operated by David Lee, trading as Crewroom, 21 Kinnear Drive, EH19 3SQ, United Kingdom. You can reach us at support@crewroom.flights.
What Crewroom is
Crewroom is an airline-career layer for flight simulation: you fly duties in your own copy of Microsoft Flight Simulator, and Crewroom keeps the career — the logbook, the employment, the ranks and the ratings. A simulator you own separately is required to fly; the optional Companion App verifies flights from your simulator session.
Crewroom is an independent product, not affiliated with, endorsed by, or licensed by any airline. It is entertainment software. It is not a source of aeronautical information and must never be used for real-world navigation, flight planning, or any other operational purpose.
Your account
You need an account to play. Give an email address you control, keep your password to yourself, and take responsibility for what happens under your account. One account per person.
You must be 18 or older to subscribe, or have the consent of a parent or guardian who accepts these terms on your behalf.
The Trial and the Subscription
Every account starts with a 14-day trial of the whole product. The 14 days begin when you are released to the line, at the end of line training, rather than when you create the account. We ask for no card and collect no payment details for it, and there is nothing to cancel when it ends.
After that, a Subscription is what keeps your pilots flying. It is sold monthly or annually at the price shown at checkout in your currency, including any tax collected on the sale, and renews automatically until you cancel.
If we change the price, we will tell you by email before the change applies to one of your renewals, in time for you to cancel if you would rather not pay it.
Cancelling, and what a lapse does
You can cancel at any time. Access continues to the end of the period you have already paid for, and we do not charge you again.
A lapse takes nothing back. Your ratings, your employment and your logbook stay yours. When a trial ends or a subscription lapses your pilots go dormant rather than being deleted — still there to look at, but not flying — and subscribing restores all of them immediately.
Payments
We are the seller of record: your contract for the Subscription is with us. Payments are processed on our behalf by Stripe, who handle the transaction and your card details securely — we never see or store them. Your invoice and receipt come from us through Stripe.
Refunds
Our refund policy is published separately and forms part of these terms.
Fair use of the service
Please do not:
- break the law, or use Crewroom to harm or harass anyone;
- try to reach another player's account or data, or any part of the service you have not been given access to;
- automate access in a way that degrades the service for others, or resell access to it;
- falsify the flight data your careers are verified against.
Careers here run largely on trust. We may suspend or close an account that abuses that, or that breaches these terms.
What belongs to whom
The software, the world we build and the design of Crewroom are ours or licensed to us. The real-world schedule data is used under open licences, credited in full on our data credits page. Airline names, codes and callsigns identify real operators and the flying they publish; no airline logos, liveries or other branding are reproduced.
Your career data is yours. You can delete individual pilots or your entire account from your settings at any time.
Availability and change
We do not promise uninterrupted availability. Crewroom is actively developed: features, world data and simulated rules change, and some are retired. Where a change materially reduces what a paid subscription gets you, we will tell subscribers before it takes effect.
If we wind down
We are not planning to close Crewroom. If that ever changes, we will email every subscriber at least 30 days before flying stops, and we will take no further payment once that notice goes out. Your career data stays yours either way: ask us at support@crewroom.flights for a copy of your logbook, in a wind-down or on any ordinary day, and we will send it.
Ending the agreement
You may close your account whenever you like, from your settings. We may suspend or close an account that breaches these terms; where we do so and you have paid for a period you can no longer use, we will refund the unused part unless the breach was deliberate.
Liability
Nothing in these terms limits liability that cannot legally be limited, including for death or personal injury caused by negligence, or for fraud. Subject to that, and to the fullest extent the law allows, our total liability to you arising out of Crewroom is limited to the amount you paid us in the twelve months before the claim arose, and we are not liable for loss of data, profit, or opportunity, or for any consequence of using Crewroom for a purpose it is not for.
Governing law
These terms are governed by the law of Scotland, and disputes may be brought in its courts. If you are a consumer, this does not deprive you of the protection of the mandatory consumer law of the country you live in, and your statutory rights are unaffected.
Changes to these terms
We may update these terms. The current version always lives here with the date it was last changed, and we will tell subscribers by email before a material change takes effect.
